Responsibilities
· Source and review candidate resumes with a primary focus on nursing roles, including CNAs, LPNs, and RNs, while supporting additional healthcare and allied health recruitment activities based on operational and business needs.
· Evaluate candidate profiles for recruitment readiness and alignment with employer qualifications, credentialing requirements, and general workforce readiness standards.
· Conduct initial intake sessions with job seekers to review qualifications, credentialing documentation, and general eligibility requirements.
· Guide healthcare job seekers through the completion of recruitment and job readiness profiles, ensuring all required information and documentation is accurately collected and maintained.
· Perform primary source verification for nursing licenses through the New York State Office of the Professions website and verify required certifications such as BLS, ACLS, and other applicable credentials.
· Coordinate and schedule interviews, recruitment screenings, and related recruitment activities for the Nurse Recruiter and Talent Acquisition team.
· Maintain and update candidate records within Applicant Tracking Systems (ATS), including iCIMS, ensuring licenses, certifications, clearances, resumes, and recruitment documentation are accurate and up to date.
· Assist the Nurse Recruiter in identifying candidates from the ATS and Career Services pipeline who meet employer requirements, credentialing standards, scheduling needs, and placement readiness expectations.
· Collaborate with the Career Services Unit to support candidate readiness, profile completion, and workforce transition activities for healthcare job seekers.
· Respond to inquiries from job seekers, employer partners, and internal staff regarding recruitment status, interview scheduling, documentation requirements, and placement processes.
· Support recruitment events, including healthcare job fairs, nursing-focused recruitment events, workforce development initiatives, and union-related orientations by assisting with scheduling, registration, candidate support, and initial screenings.
· Prepare and maintain reports related to recruitment activity, candidate pipelines, credential verification status, interview activity, and placement support efforts.
· Serve as a liaison between candidates, Talent Acquisition Specialists, employer partners, and internal departments to support timely communication and follow-up throughout the recruitment process.
· Assist in drafting professional correspondence, managing recruitment calendars, organizing recruitment activities, and supporting day-to-day administrative functions within the Employment and Job Placement Division.
· Ensure accurate data entry, record maintenance, and adherence to Fund policies, recruitment procedures, compliance requirements, and applicable Collective Bargaining Agreement (CBA) considerations.
· Provide a high level of customer service, professionalism, emotional intelligence, and candidate support throughout the recruitment and placement process.
· Willingness to travel throughout the five boroughs, Hudson Valley, White Plains, and Long Island as needed to support recruitment and placement activities.
Qualifications
· High School Diploma or GED required. Associate’s degree in Human Resources, or related field, highly preferred.
· Minimum of two (2) years of experience in administrative support, recruitment coordination, talent acquisition, workforce development, or related experience, preferably within healthcare, nonprofit, hospital, or long-term care environments.
· Familiarity with healthcare terminology, including CNA, LPN, and RN roles, and a general understanding of healthcare credentialing requirements such as BLS, ACLS, and New York State licensure verification preferred.
· Experience supporting healthcare recruitment, workforce development, or candidate placement activities strongly preferred.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with Applicant Tracking Systems (ATS), including iCIMS or similar platforms.
· Strong organizational, administrative, and data management skills with high attention to detail and the ability to manage multiple priorities in a fast-paced healthcare recruitment environment.
· Excellent verbal, written, and interpersonal communication skills with the ability to effectively support candidates, employer partners, union members, and internal stakeholders.
· Demonstrated emotional intelligence, professionalism, and client-centered approach when interacting with healthcare professionals and job seekers.
· Ability to maintain confidentiality, exercise sound judgment, and work collaboratively across multiple departments and stakeholder groups.
· Bilingual or multilingual abilities, particularly Spanish or French-Creole, are a plus.
