General Purpose
Reporting to the Communications Manager (temporarily to the Manager, Business Processes and Systems), the Communications Coordinator supports the delivery of clear, accurate, and accessible communications that enable students, staff, and faculty to effectively navigate academic and financial processes across the University.
This role provides dedicated communications support to key areas within ORS, including the Lincoln Alexander Student Service Centre, Student Financial Services, and Enrolment and Scheduling Services. The position focuses on high-impact, student-facing topics such as registration, tuition and fees, financial aid, scheduling, academic records, deadlines, system changes, and service disruptions.
As part of a central, service-oriented team, the Communications Coordinator develops and delivers timely, high-volume communications aligned with institutional policies and governance frameworks. The role also contributes to project communications, change management, and continuous service improvement through stakeholder engagement and feedback.
Duties and Responsibilities
- Develop and execute communication plans for operational initiatives, projects, system changes, and policy updates.
- Draft, edit, and coordinate student- and staff-facing communications across web, email, portals, and announcements, ensuring clarity and accuracy.
- Translate complex academic, financial, and system information into accessible, user-focused messaging.
- Apply accessibility, plain-language, and equity-focused communication standards.
- Create and maintain training materials, process documentation, FAQs, and how-to guides.
- Develop visual and digital assets, including training videos, to support user understanding and system adoption.
- Maintain and update ORS web content and SharePoint sites as authoritative information sources.
- Support content governance, audits, and lifecycle management to ensure consistency and accuracy.
- Gather and synthesize feedback from students, staff, and faculty, and recommend improvements to communications and processes.
- Collaborate with campus partners, including central communications and IT, to align messaging and standards.
Requirements
- 2-year Community College; Undergraduate degree preferred in Communications, Digital Media, English, Journalism, Information Design, Knowledge Management, or a related field.
- Minimum two (2) years of experience in communications, web content management, digital communications, or service-oriented communications.
- Strong writing, editing, and visual communication skills.
- Demonstrated ability to communicate complex or technical information clearly to diverse audiences.
- Experience with content management systems, SharePoint, and digital communication tools.
- Knowledge of accessibility standards (e.g., AODA) and inclusive communication practices.
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
