Position Summary

Property Services team has the responsibility to operate, maintain and enhance the buildings owned by RMIT University, oversee construction projects and ensure the provision of physical facilities services. Property Services consists of the following business units:

  • Projects

  • Facilities Management

  • Campus planning & operations

  • Business Administration

This position's key role is to provide timetabling services to the Higher Education and Post Graduate Programs which includes understanding the academic requirements, the collection and application of timetable constraints and preferences. The position is required to provide timely support and work closely with key stakeholders within University to collect timetable requirements, to handle bookings and improve timetabling, booking process.


This role will manage the liaison with related departments, suppliers, Property Services to provide facilities services and resources support to events hold at Saigon South Campus. The position will also assist the utilisation study of all locations of RMIT Vietnam.

Reporting Line

  • Reports to: Associate Director, Campus Planning and Operations.

  • Direct Reports: None

Key Accountabilities

  • Undertake all activities associated with the development of the University’s teaching timetable to meet academic requirements.

  • Develop strong working relationships with key stakeholders (including program and course managers) to understand program and course structure requirements.

  • Develop University teaching timetable to be aligned with educational objectives and business rules, whilst maximising the efficient use of available resources.

  • Liaise with IT Services, Student Services to ensure the accurate and timely publishing of the University timetable.

  • Conduct the room audit every semester to assist utilisation study.

  • Manage ad hoc room bookings for teaching and non-teaching requirements, resolve problems regarding room allocations as they arise.

  • Interpret and implement policy, and contribute to policy and procedure development of timetable, room booking and facilities support.

  • Liaise with internal event organisers and Communications and Events department to identify facility-related scope of events, setup requirement.

  • Manage and coordinate the appropriate support from Property Services staff and service providers include security, cleaning, casual labour for events at Saigon South campus in an effective and timely manner.

  • Liaise with users and stakeholders to coordinate staff adds, changes, relocation and update records related to staff location

  • Take emergent actions and mitigate potential problem associated with room bookings or events as required.

  • Manage room operations to ensure best utilisation of space for teaching activities, bookings and others activities such as maintenance and repairs work.

  • Other duties as required.

Key Selection Criteria

  • A Bachelor’s degree relevant to the business administration or relevant field

  • At least 3 years work experience in a large, multi-faceted organisations

  • A proactive approach to planning, coordination and delivery of work.

  • Strong skills in coordination, liaison, and communication.

  • Experience in timetabling and room booking within an educational environment preferred

  • Effective interpersonal skills in dealing with a range of individuals, cultures and situations to ensure optimal outcomes, together with high levels of oral and written communication, negotiation skills and problem solving

  • Demonstrated knowledge and commitment to continuous improvement principles.

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS with a score of at least 6.0 (or equivalent, as outlined in the Recruitment, Selection and Onboarding Guidelines).
