About the job

The International Baccalaureate (IB) supports a global professional learning community of internationally minded educators delivering high-quality IB programmes. Professional learning is central to IB’s mission and relies on the effective planning, coordination, and delivery of scheduled and provider-led events.

The Professional Learning Business Administrator provides dedicated administrative and operational support to the PDD Regional Business Managers in the Americas, APAC and AEM regions. The role ensures that scheduled business processes are managed efficiently, consistently, and cost-effectively. The postholder contributes to high-quality service delivery for schools, providers, and internal stakeholders through accurate coordination, reporting, and systems management.

  • Support annual planning and scheduling of IB-hosted professional learning events, coordinating data inputs and maintaining accurate records of approvals, venues and schedules.
  • Monitor enrolments, prepare regular reports and support mitigation activities for under-enrolled workshops to strengthen service delivery and financial performance.
  • Support provider scheduling by reviewing submissions, preparing documentation and maintaining accurate scheduling records and templates.
  • Assist with provider-led workshop administration, including staffing coordination, add or cancel requests, data entry and provider performance reporting.
  • Coordinate documentation, agendas, follow-ups and action tracking for Provider Strategy workstreams and working groups.
  • Support PDD Regional Business Managers with meeting preparation, reporting, data analysis, departmental projects, HR processes and quality assurance of public-facing scheduled event information.
  • Bachelor’s degree or equivalent professional experience.
  • Experience in administrative support, project coordination or event management.
  • Experience within education, international organisations or complex stakeholder environments is desirable.
  • Fluency in English required; additional languages, particularly Spanish or French, are an asset.
  • Proficiency in Microsoft Office Suite and CRM systems, with Salesforce experience highly desirable.
  • Strong organisational and data management skills, with excellent attention to detail and accuracy.
  • Clear written and verbal communication skills with internal and external stakeholders.
  • Ability to work independently, manage competing priorities and meet deadlines in a fast-paced environment.
  • Collaborative, adaptable and internationally minded, with sound judgement and professionalism.
