The Office of Graduate Studies (OGS) seeks a professional, organized, and customer-focused Office Assistant to support administrative and operational activities within the Dean’s Office. This position provides front-desk reception, customer service, event support, and general office assistance to the Operations, Student Support Services, and Professional Development teams.

Schedule:  Up to 20 hours per week with flexible scheduling between Monday-Friday 8:00 a.m. to 5:00 p.m. on the Tampa Campus.
Pay Rate: $20.00 per hour
 

Duties include but are not limited to:

  • Serve as the primary front-desk contact by greeting visitors and responding to inquiries in person, by phone, and by email. 
  • Direct visitors and students to appropriate staff and assist with appointment scheduling. 
  • Monitor and manage shared email inboxes, routing inquiries as appropriate. 
  • Maintain office organization, inventory, and supply ordering. 
  • Assist with planning, setup, support, and cleanup for OGS events and programs. 
  • Perform routine administrative tasks, including scanning, copying, filing, and document management. 
  • Process incoming and outgoing mail and complete campus deliveries as needed. 
  • Support Graduate Studies Operations, Student Support Services, and Professional Development initiatives and special projects. 
  • Assist with Electronic Thesis and Dissertation (ETD) processing and Certificate of Approval indexing. 
  • Perform other clerical and administrative duties as assigned

Minimum Qualifications

High school diploma or equivalent and four years of office or administrative support experience, preferably in higher education. Appropriate college coursework or vocational/technical training may substitute for the required experience on an equivalent basis.

Degree Equivalency Clause: Four years of direct experience for a bachelor’s degree.
• Senate Bill 1310- The Florida Senate (https://www.flsenate.gov/Session/Bill/2023/1310) is conditional upon meeting all employment eligibility requirements in the U.S.
• SB 1310: Substitution of Work Experience for Postsecondary Education Requirements
• A public employer may include a postsecondary degree as a baseline requirement only as an alternative to the number of years of direct experience required, not to exceed:
• (a) Two years of direct experience for an associate degree;
• (b) Four years of direct experience for a bachelor’s degree;
• (c) Six years of direct experience for a master’s degree;
• (d) Seven years of direct experience for a professional degree; or
• (e) Nine years of direct experience for a doctoral degree
• Related work experience may not substitute for any required licensure, certification, or registration required for the position of employment as established by the public employer and indicated in the advertised description of the position of employment.
• Minimum Qualifications that require a high school diploma are exempt from SB 1310.

Preferred Qualifications

  • Experience providing administrative support in a higher education environment; experience at USF is preferred. 
  • Strong organizational, communication, and time-management skills.
